Import the client tracker
Bring this month’s client tracker and billing sheet into CrossHub. You see every change before anything is saved, and nothing is ever deleted.
The tracker file
The monthly client tracker (.xlsx). It works the same way every month.
Check what will change
Each tracker row is matched to a client already in CrossHub. Change a match from its drop-down if it is wrong.
What this import changes, and what it never touches
- It updates status, industry, the services we provide, Instagram, Facebook and LinkedIn, the monthly deliverables, the report date, the “ready till” dates, goals, ad spend and the management fee.
- It never changes a client’s name, web address, tier, retainer, logo, brand, Groundwork document, passwords or Meta connection.
- A blank cell in the sheet never wipes anything already in CrossHub.
- Clients on hold are kept, but no longer shown as active.
- Clients that are not in this tracker are switched off, not deleted. Untick any you want to keep.
- The Drive folder slot is made ready on every client and left empty, for when Google Drive is linked.
Clients not in this tracker
These are in CrossHub but not in the sheet. Ticked ones will be switched off. They are kept with all their work, just no longer shown as active.
The billing sheet
Each client’s billing day, retainer and ad management fee rule. You check every rule before anything is saved, and only you can see these.
What this saves, and what it never touches
- It saves each client’s billing day, ad management fee rule and notes to the owner-only billing record.
- A retainer is filled only when the sheet gives one and CrossHub has none. A retainer already in CrossHub changes only when you type a new one here.
- A blank cell never wipes anything already saved. A fee rule whose words have not changed keeps the version you checked or edited.
- Rules marked “Check this rule” are saved with that mark until you tick “This rule is right”.
- It never changes a client’s status, tier, services or any other part of the client record. Step 1 does that.
- Only these columns are read. Any other column in the sheet is ignored and never saved.
Client briefs (optional)
Add the AI briefs file to fill the knowledge bank. Only empty sections are filled, and each one is marked as an AI draft for the team to check and correct.
